What is the key topic to be presented in a kick-off meeting? You should, for sure, use the opportunity to introduce yourself as the project manager, and your team, to your key stakeholders. The kick off is also essential to secure the confidence and trust of your sponsors and other stakeholders that you will be successful in leading the team towards project goals.
With that in mind, among others, you need to present your high level scope, schedule, budget, project organization, governance, meetings and communication arrangement. In addition you need to highlight all key risks you believe will be impacting your plan. Plus, you also want to make sure that you highlight your resource requirements (both people, tools, vendors, etc) and all the support you need from the management (managing other stakeholders, other teams or departments, vendors, etc).
Who is the right audience in the kick off meeting? For sure, you must invite your main sponsors and key stakeholders to the meeting. Including when vendors are engaged, then you need to bring the key management representative of the vendors. If room and time allows, you should also bring your key team members, which will equip them with the necessary sense of importance.
When is the right time for a kick-off meeting? The meeting should be done as early as possible once you are confident enough with the high level plan. No need to wait until everything is perfect. Make sure you also present and rehearse the kick-off material with your sponsor or project director prior to the meeting.
